We are delighted to announce an expansion to our Digital Mailroom service as a direct response to increased demand during the Covid-19 pandemic. In response to this increased demand, we have invested in new innovative software to streamline the data extraction process. The new software replaces the need for manual extraction of data and has the capability to automatically pull key information items from scanned documents.

In 2020, forty new clients signed up for the Digital Mailroom service, ranging from large corporates across the insurance, financial services, banking and technology sectors. With large volumes of staff working remotely, Datascan processes incoming mail and files are scanned, indexed, and routed as required to the end user at their workstation.

Orla Cafferty, Director of Datascan said: “Over the past year, we have seen a steady rise in demand for our services, including our Digital Mailroom. Due to the pandemic, large numbers are working at home, but in many instances their processes are not designed for remote working. For example, companies in the insurance industry need access to customer renewals and physical documents to process payments, which can be difficult to coordinate in-house during the Covid-19 pandemic. In recent times, many organisations have digitised their processes, but there is still an over reliance on paper documents.”

The services enables our clients to maximise efficiencies and enables the direction of mail to local offices, global offices, and to staff who are working remotely. Files are delivered on the same day and are delivered securely by email or uploaded through Secure File Transfer Protocol (SFTP), depending on the needs of the organisation.

Orla continued: “The digitisation of documents and the Digital Mailroom service both offer a level of flexibility and comfort for companies and provides a secure and compliant way of storing data. Now more than ever before, it is important for organisations to look at their processes, to ensure they are equipped to deal with changes to working practices.”

All documents and files are processed in line with GDPR. Datascan is certified to ISO9001 and the internationally recognised standard ISO27001. On a weekly basis, Datascan processes up to 100,000 files on behalf of clients. Datascan offers a range of document management services including document scanning, medical record scanning, automatic capture, digital mailroom and video and document redaction services to organizations across the medical, legal, media, accounting, retail and not-for-profit sectors.
