Indexing is a particularly important part of our scanning process.  This is the difference between just copying files and creating digital files that are searchable.

What is indexing?

Indexing is creating a data structure that allows the scanned documents to be easily retrieved from a large database of information.  It is allocating a type of category to each file making it easier for somebody to search for information and access it quickly. Not only does having indexed files make it easier to search, but it also results in less misfiled or lost information.

How do we index your files?

Firstly, you will decide what categories you require.  This can be just a few in the case of many of our clients.  However, if you need multiple categories that is perfectly fine as we can accommodate as few or as many as you need.  You can decide we should index by customer, by keyword, by date or indeed any information that is critical to you.

Technology and old-style skill

Datascan use the most advanced software that picks up information and indexes it automatically.  This you will not be surprised by, but we do not just stop there!  We employ the human expert element too.  Our trained experienced staff have the knowledge to ensure the indexing is all completed correctly.  Their physical human checks will add another layer of quality control to the process.

Secure and Reliable

Our clients have been telling us lately that they particularly value the reliability of the scanning and indexing service.  With very few (if any) mistakes during the process due to our proven processes, you can be assured of reliable digitisation of your documents.  Added to this is the peace of mind that your data is always secure with us, from receipt of paper to return of digital, you can rely on us.

So, if you are looking to turn boxes of paper documents into scanned, indexed digital files that are easy to search and secure just give our expert team a call to arrange.
